Administrative & Billing Coordinator

As part of the continued growth of our Finance team, we are seeking an Administrative & Billing Coordinator. Reporting to the Finance Department, you will work closely with the Managing Director, Project Directors, Chief Accountant, and Legal Director to support the effective administrative and financial management of projects while contributing to strong client relationships.

Key responsabilities

 

Project administration & monitoring
  • Manage monthly project invoicing.
  • Process subcontractor and joint-venture partner invoices.
  • Monitor fees, credit notes, and follow-up actions.
  • Update project tracking data within OOTI.
  • Oversee the administrative management of projects (administrative filings, subcontracting documentation, contractual records, etc.).
  • Manage annual and preliminary declarations to the MAF (French Architects’ Professional Indemnity Insurance Association).
Collections & payment follow-up
  • Verify incoming payments.
  • Monitor client accounts and outstanding balances.
  • Identify overdue payments and coordinate collection activities.
  • Manage unpaid invoices in collaboration with project teams and support departments.
  • Prepare related administrative correspondence.
Analysis, control & reporting
  • Monitor invoicing and cash collection performance.
  • Contribute to billing forecasts.
  • Participate in the improvement of reporting and management control tools.
  • Prepare regular dashboards and reports for the Finance Director and Accounting Department.

 

Profile
  • Degree in Management, Accounting, Finance, Business Administration, or a related field (Bachelor’s or Master’s level).
  • Solid understanding of billing, collections, and administrative processes.
  • Advanced proficiency in Microsoft Excel is essential.
  • Knowledge of Sage 100, OOTI, and Microsoft Access is desirable.
  • Strong organizational skills, attention to detail, autonomy, and excellent interpersonal abilities.

 

Required experience
  • Minimum 3–5 years of experience in a similar role.
  • Experience within an architecture practice, engineering consultancy, design office, or professional services environment would be a strong advantage.
